Weβre thrilled to announce new enhancements to improve your Classter experience!
These updates focus on user experience, academic management, student data handling, and mobile features. Highlights include advanced student data filters, streamlined attendance tracking, automated enrollments, and integrated payment gateways.
With improved interfaces and expanded tools for {teachers} and administrators, weβre making daily tasks more flexible, precise, and user-friendly.
Hereβs whatβs new:
General UX Improvements
{Teacher} Quick Search Across Academic Periods: We’ve added a “Search only in this period” on/off switch to the {teacher} Quick Search, making it easier to find {teacher}s from current periods.
Core
Improvements in Student Form and Views
Advanced Filters Changes: New features include a filter to identify students missing key information like VAT ID, ID number, passport, date of birth, and email. A tag icon (green for missing data, red for all entries) helps you quickly filter these entries. Demographic data fields now feature a searchable dropdown, allowing you to filter by city and search with just 3 characters for greater accuracy.
Advanced filters for Alternative fields: When alternative fields are enabled, a filter in the Student list allows comparing normal and alternative values for fields like {Location}, {Group}, and {Stream}. This filter appears in advanced filters when the “Enable Alternative Assignments” setting is active and highlights any differences between the two sets of values. (HE fields)
Student per Admission Data Grid: A streamlined grid with filters for {Location}, {Grade}, {Stream}, {Student} Status, etc. Advanced filters identify students with missing documents and files. Alternative fields display based on settings.
Educational Program Management Improvements
Custom Educational Program fields: We added 3 single select dropdowns, 2 date pickers, 2 checkboxes, and 2 text fields to Custom Educational Program fields. These support advanced filters and bulk editing. They copy during program transfers. They will also appear in the Educational Program grid, and all updates ensure correct label usage.
Personal Cards (QR Cards)
QR Card for Financial and Participation Checks: Classter allows institutions to scan students’ benefits QR codes to check special financial status and eligibility for activities like exams, classes, or re-registration. If there is a special outstanding balance, they cannot participate. Staff members can grant an exception. The system verifies card validity, financial standing, and any exceptions upon card scanning.
Academic
{Subject}s and services enrollments
Automated Student Enrollment: This solution for K12 and HE automatically enrolls students into main {group}s and {subject}s, when users add a program or change its status. Settings allow filtering by {grade}, {stream}, and {group} type. For K12, users can assign {group}s without {subject}s if needed. Enrollment avoids duplicates and aligns with curriculum guidelines.
Quick Actions / Enroll Students to {Group} and {Subject}s: The form has been completely refactored. Asynchronous bulk enrollment now sends results via email or message. Filters include student status, {grade}, {stream}, and {group} type, with options for re-enrollment, alternative or standard {group} assignments, and automatic {group} replication when full.
Gradebook
Gradebook Changes: Classter now allows staff to manage failure results and attendance reasons more flexibly. Users can define marks for absent students in assessments, block publishing until all final marks are entered, and manage privileges for these settings. UI improvements enhance the gradebook experience, giving staff greater control over student assessments.
Assessments
RSVP in assessments: The new RSVP feature lets students and parents manage RSVPs for assessments directly from the calendar and assessment list. Staff easily view and edit responses through the scheduling list, with clear icons and tooltips guiding the process, and RSVP statuses appearing during assessment marking. Available also in the Mobile App.
Attendance
Sync Attendance with Assessments: Marking a student present in attendance for a session linked to an assessment also records them as present in the assessment if attendance submission method is per session. This applies across {Subject} Attendance, Weekly Attendance, Fast Absences, and Mobile App.
Fast Attendance: Weβve added Auto-Submit Attendance and Barcode Scanning to Fast Attendance. Auto-submit saves attendance automatically when a student is selected or scanned, and barcode scanning allows quick student identification with automatic input focus for faster processing.
Attendance Category Update: We now allow disabling Attendance Categories, keeping old records while hiding them from new submissions. Only active categories are visible in attendance lists, with an “Active” switch in forms. Inactive categories still work in settings if used in attendance flows.
Scheduling & Timetable
Timetable Conflict Check: Students and staff now see alerts for timetable conflicts during enrollments. Overlapping schedules prevent enrollment until resolved, ensuring conflict-free scheduling.
Session Management
Session Grid Update: The update introduces advanced filtering, customizable column management, and alphabetical classroom organization. A footer displays total hours and minutes across pages, enhancing time tracking. Bulk and row actions are streamlined.
Billing
Financial Module Improvements
Average Discount Percentage (Arrangement List): Displays a dynamically updated average discount percentage in the footer, calculated across all filtered items regardless of pagination.
Admission
Admission/Reregistration Process
Conditional Application Fee Requirement: Students pay an application fee only when a calculated amount greater than zero applies to their specific program. If no amount is calculated, the application continues without prompts, ensuring fees are requested only, when necessary, based on program requirements.
Admissions Workflow: Employees can now edit student personal data directly within the admissions workflow, if they have the required permissions.
Multiple Periods for Admission Applications: Now, the system prompts applicants to select from multiple academic periods before they create an application. If multiple periods are available, the system asks them to pick one, ensuring clarity on their chosen term. Updates also include automatic period info on the application screen and UI adjustments for a smoother process.
Agent Portal
Agent Management: Agents can access student financial data and online payments, even if they are not configured as payers. They can register installment payments but cannot proceed to checkout. These features are available in the agent portal.
Commissions: Pricing categories now include options for enabling commissions, setting commission percentages, and choosing a calculation method (initial value, final value after discounts, or initial value minus discounts). Commissions are calculated per arrangement, saved in headers, and distributed across installments.
Pricing Categories and Lists: The system automatically preselects pricing categories associated with agents when users add educational programs, {subject}s, or services. For enabled commissions, pricing lists include commission amounts and percentages, with auto-calculation and user-editable fields.
Arrangement Creation: When users select a pricing category with commissions, the system calculates the commission and net value (final price minus commission) and stores them in the arrangement header and installments.
Transaction Series: A new property marks transaction series for agent payments. Payments by agents use this series, ensuring proper reconciliation.
Agent Portal: Agents can view total and installment-level commissions if enabled.
Verified payments by agents are saved but do not proceed to checkout.
Reconciliation Form: Filters include agents, and a grid shows transactions with details like amounts collected by agents, commissions, and balances. Export options support detailed analysis.
CRM & Messaging
DocuSign in Signatures Module & Dual Signature: The Signatures Module now includes DocuSign (license required), enabling dual-signature workflows. The system routes documents first to primary signatories and then to a secondary signatory, such as an admissions officer. New settings allow adding a predefined second signatory and support βPrivate Agreementβ documents within Signature Templates.
SMS Notification Template Now Includes Student Code Field: The Student Code (StuCode) field is now available in the SMS notification template for student status changes, allowing you to include the student’s code in your messages.
Integrations
New Turnitin Report Access for Students: Students can now run Turnitin checks multiple times before submitting their work. A new setting allows institutions to control access. However, some {school}s may still prefer to keep Turnitin reports available only to {teacher}s.
IRIS Payment Gateway for Seamless Transactions: We’ve integrated the IRIS payment gateway, enabling secure online payments through DIAS. Users can now pay via e-banking or QR code scanning directly from their portal. There are also options to confirm or cancel transactions and receive instant confirmations. Institutions can easily configure this feature to suit their needs.
OTTU Payment gateway: Classter is integrating the OTTU Payment Gateway to streamline online payments in Gulf countries. OTTU is a trusted platform designed to simplify payment processes for educational institutions. Supports both local payment methods and credit card transactions.
Mass Imports / Actions
Pricing Category in Program Import: The educational programs import tool now supports pricing categories. During import, the system checks if the pricing category in the Excel file is enabled for the specific program, for accurate data verification.
Specialized for Higher Education
Reserved {Subject} & Result Tracking: The system checks for reserved {subject}s across different curricula and adds the results to annual records. It tracks the team or class the student was in when completing a {subject}, updates reserved {subject} statuses automatically.
College Online Enrollments: Each period, now, has defined credit limits, with support for mid-year enrollments while staying within those limits. The new ‘Retake’ option makes it easy for students to re-enroll in failed {subject}s. A {subject} status setting controls whether a {subject} counts toward enrollment limits based on the studentβs program. The system now logs educational program details during enrollment for accurate tracking and alignment.
Two new alternative properties: We added Alternative Location and Alternative Indication with the same functionality as Alt. {Stream} and Alt. {Group}. When enabled, these fields appear in advanced filters and student grids when combined with other filters. They also show up in admission forms, educational program lists, and bulk edit options. Users control whether these fields are locked or editable based on privileges. Their initial values match the main fields if left empty.
Alternative {Subject} Field Addition: We’re adding a new Alternative {Subject} field to the {Subject} and Curriculum forms, allowing users to link alternative {subject}s to main ones. A new checkbox in Bulk Actions lets users set these alternatives during {subject} creation, simplifying management.
Comment on Annual Results: We added a Comment property for each annual result entry, available only for HE. End users can view comments through the Student Card and Mass Import Annual Results and can edit them through Annual Results list actions.
Minimum GPA Mark: We added a Minimum GPA Mark as a prerequisite for online enrollments, visible when the “Enable GPA Calculation Format” setting is active. This new requirement is now part of the existing prerequisites and is part of the validation process.
Mobile Features
Financial Overview: Parents and students have access to a comprehensive financial dashboard within the app, providing real-time insights into tuition fees, outstanding balances, and payment histories.
RSVP for Assessments: Students and parents can now RSVP for assessments via the calendar, assessment list, or details page, using predefined options within a set time frame. Parents can RSVP per child.
My Students: The My Students page is now available on the {teacher}s mobile app! {Teacher}s can filter students using various criteria, send internal messages, and select multiple students for bulk messaging (if granted the necessary rights).
Enhanced Attendance Features: {Teacher}s can now take attendance within a designated time window for each session, ensuring timely and accurate submissions. For multi-period sessions, users can track attendance separately for each timetable period when they enable this option, ensuring precise tracking and flexibility in managing attendance records.
