We are excited to present a comprehensive suite of updates designed to enhance efficiency, precision, and flexibility across all aspects of education management. From improved student forms and advanced educational program tools to streamlined admissions, billing, and scheduling processes, these updates are crafted to simplify workflows and empower users. 

With refined interfaces and expanded tools for administrators and educators, these updates make daily tasks faster, more intuitive, and easier to manage. 

Here’s what’s new: 

Core 

Improvements in Student Form and Views 

Signature Templates Filter: Add a “Signature Templates” filter for institutes with the “Signatures” license, allowing refined searches by specific template types across lists. Works with the existing “Signature Request” filter to narrow signing status searches, improving precision and flexibility.   

K12 Support for Alternative Properties at Educational Programs level: Alternative educational program properties are now supported in K12 schools, including auto-assignments in “Enroll Students to Classes and Subjects.” Settings, privileges, terminology.   

Country Code Support for Phone Numbers: All phone inputs now support country code selection, ensuring proper formatting for database entries and communication processes. Unresolved numbers are flagged as “unidentified,” and the new control is applied across all relevant screens, including students, relatives, teachers, and company profiles. 

Prefilled Country Codes for Phone Inputs: Country codes are now automatically prefilled for empty phone fields based on the entity’s address or default company country. Updates apply dynamically on country selection, ensuring consistency. 

Educational Program Management Improvements  

Bulk Add Educational Programs: Assign educational programs to up to 1,000 students in one action, with detailed validations, filters, and automated processes to handle associated tasks.  

Educational Program Visual Indicators: Enhance the educational program grid in the student form with icons, colors, and tooltips to show connections to financial arrangements or lack thereof. Icons adapt based on user permissions and settings, providing clear insights at a glance.  

Auto-Enroll Services for Subject Enrollments: Automatically assign default services when students enroll in subjects, following the same workflow as auto-enrollment for educational programs. Updates ensure seamless service assignment, management, and adjustments based on subject enrollment or unenrollment. 

Bulk Request Notifications and Log Enhancements: Bulk request processes now notify creators via email and internal message upon status changes, including details on successful and unsuccessful completions. Messaging categories are configurable for streamlined management. The bulk request log is improved with date filters.   

Refactoring Educational Program Changes: Educational program changes now allow modifications even when linked to academic or financial data, with new privilege-based controls for grade and stream edits. Enhanced UI ensures warnings, validations, and safeguards for curriculum changes, bulk edits, and pricing compatibility. 

Enhanced Admission Data Management: We’ve introduced forced admission data settings, similar to consents, with new configurations for student status and for multiple user types(Student / Admission / Alumni ). Admission data and consents can now be managed dynamically, with clear statuses and forced conditions. These updates streamline the process and ensure all required documents are completed for specific statuses and portals. 

Academic 

Gradebook 

Per Student Gradebook: The new “Per Student Gradebook Mode” for employees enables score entry per student with tailored filters, an “Absences” column for tracking attendance, and a “Mark Analysis” column for detailed breakdowns when marking scenarios differ. 

Postponed Subject Status: Teachers can flag a student’s subject as “Postponed/Incomplete,” excluding it from mark calculations and annual result processes. Employees can later update the status and mark the student. A new gradebook column allows users to toggle this status if enabled in settings. 

Annual Results & Certifications 

Global Student List with Annual Results: A new global student list consolidates annual results at the curriculum level, with enhanced filters, curriculum-based data retrieval, and certification progress tracking. Accessible only to authorized roles, it supports advanced filtering, export options, and bulk actions for streamlined academic oversight. 

Assessments 

Bulk Assessment Tools: New tools enable automated assessment creation:  

  1. Weekly Sessions: Auto-generate assessments linked to scheduled sessions, with bulk actions for creation and connection management.  
  2. Assessment Scheduling: Create multiple assessments per subject using predefined marking scenarios via a guided wizard.   

Bulk Copy Assessments to One Teacher: Back-office users can now bulk copy assessments to a single teacher, with an option to assign assessments either to the original teacher or the first eligible teacher in the target group/subject. A user-friendly popup guides the process with clear selection and confirmation steps. 
 

Enhanced Assessment Viewing: Switch between Per Subject and Assessments List tabs for flexible assessment management. Your preferences are saved, and role-based settings ensure a tailored experience for teachers and employees. 

Scheduling & Timetable 

Simplified Timetable Period Selection: Users can now select only the start and end timetable periods for sessions or timetables. The system automatically calculates and includes intermediate periods, streamlining the process while ensuring accurate validations and seamless functionality. 

Timetable and Session Exclusions: Subjects with specific enrollment statuses can now be flagged to exclude their timetable or session entries from student and parent views. Slots are hidden if all associated subjects for a student are excluded. This applies to dashboards, calendars, timetables, session lists, and reports.   

Attendance taking via API calls (qr codes): Our external API supports a set of endpoints to streamline attendance tracking by automatically calculating required details like attendance categories and session data based on simple inputs such as student ID or group. It adapts to different attendance methods (daily, session, or timetable) and provides clear feedback on missing or incorrect data. Designed for seamless integration with external apps, it ensures accurate and efficient attendance submissions while reducing manual effort. 

{Subject}s and services enrollments 

Service Enrollment Limits: Enrollment limits consider specific student statuses, ensuring accurate validation across all methods. Users are notified via unified messaging process when limits are reached, preventing further enrollments. 

Curriculum View Popup: The “Curriculum View” button will open a read-only version of the “Subjects per Curriculum” dialog. All fields will be disabled, except for tooltips and history status, with only a close button to exit. The main group section will be removed for simplicity. 

Session Management  

Unified Classroom and Teacher Booking: The booking views now feature unified UI/UX, data validation for up to 2,000 cells, and a renamed menu (“Rooms/Teachers Booking”). Filters show active teachers and classrooms by location, building, or “Without Entry.” Slot colors, labels, and a unified dialog with slot details are standardized, while role-based actions are streamlined. These updates improve usability and performance. 

Billing 

Financial Module Improvements 

Financial Period and Arrangement Plan Updates: Enhanced linkage between financial Periods property and academic periods, new arrangement plan settings, and improved preselection streamline workflows, ensure accuracy, and support user-specific visibility.  

Transaction Form Location Filtering: Transaction issuing forms now restrict locations to those assigned to a student during the selected period, ensuring relevant location filtering based on educational program and period settings.  

Scholarship Exception and Arrangement Restrictions: Arrangements flagged as “Scholarship exception” (due to subject retakes or specific statuses) disable discounts and exclude companies as payers.  

Financial Period Enforcement for Installments: New settings manage financial period property requirements for arrangement installments, enabling optional, mandatory, or disabled selection. This ensures accurate financial period allocation, prevents blank values, and enforces validations across all related processes and user roles.  

Voucher-Based Discount Restrictions: Voucher-linked discounts can now be restricted to specific grade-stream combinations declared at the student level. Validations ensure discounts are only applied to eligible arrangements, aligning with the voucher’s defined grade-stream criteria. 

Role-Based Voucher Management: Employees can now assign voucher types to applicants during the admission process, with availability configured per user role. Role-based filters ensure users see only eligible vouchers, while non-eligible vouchers are flagged as “Not Available” for transparency. 

Additional Deposit Amount in Admission and Reregistration: Applicants can now be required to pay an additional configurable deposit amount, displayed alongside existing installments, with exclusions for specific agreed discounts. Settings allow tailored amounts, messages, and scenarios per period, ensuring flexibility in payment processes.  

Tracking Changes in Agreed Discounts: Institutions can now track all changes made to agreed discounts for students. This includes actions like adding, removing, activating, deactivating, or editing discounts, as well as modifying start or end dates. A detailed log ensures transparency and accountability, with access restricted to authorized users for enhanced data security. (table-history of changes) 

Streamlined Default Payers and Installment Calculations: Institutions can now set default payers for student arrangements, ensuring these are automatically inherited in new plans. When “Payer Per Installment” is enabled, installment amounts are calculated based on the configured payers, allowing precise allocation of percentages. This update provides enhanced flexibility and accuracy for financial arrangements. 

Admission 

Admission/Reregistration Process 

Admission Process Enhancements for Employees: The admission process for employees now redirects to the application index after submission, displays clickable student names, adds a “Files” button for viewing student files, and includes a new “Signature Request” action for streamlined management. 

Custom educational programs’ registration Numbering: Institutes can now set custom registration numbers of educational programs, using specific prefixes and formats. Incremental numbers are automatically calculated based on the chosen prefix and settings, ensuring unique and consistent registration numbers for students. Changes are applied dynamically, making the process seamless and efficient. 

Stream and Program Category Hiding in Admission Process: New settings allow hiding or disabling the Stream and Program Category dropdowns in single and multiple admission applications. Dropdowns auto-select the first available value, maintaining existing functionality and validations while simplifying the UI for end users. 

Reregistration Enhancement: Students and parents can now choose an educational program for reregistration from a dropdown of eligible programs. If only one program is available, it will be preselected; otherwise, users must select one. Validations ensure no duplicate submissions, and cached data is updated after each process. 

Online Enrollment 

Flexible Online Enrollment for Grades and Subjects 
Institutes can now configure which grades are available for online re-registration and enrollment. For colleges, specific grades can be selected, and for K-12, subjects can be defined. This ensures that online enrollment processes align with institutional requirements and are only available for the designated grades or subjects. 

Application Management  

Application Protocol Integration: Integrate applications with protocol entries using customizable numbering rules, auto-creation upon actions, and re-registration handling. Protocol numbers appear in templates, lists, and filters, with automatic cleanup on application deletion. 

CRM & Messaging 

Simplifying Meetings for All User Types: Parent and teacher meetings are now reimagined to include diverse user roles like mentors, employees, and supervisors. Meetings can be scheduled with any configured user type, offering more flexibility and inclusivity. Labels and menus have been updated for a consistent and user-friendly experience, aligning with this expanded functionality.   

Integrations 

Moodle Links per Subject-Group: In My Subjects, teachers and students now see a dropdown list of Moodle links when multiple subject-group interconnections are active. Each link corresponds to a specific subject-group combination. For single or no links, the existing UI remains unchanged. 

Selective Integration Control: Administrators can now manage external platform integrations like Teams and Canvas individually for specific courses, groups, or grades. This update allows selective activation or deactivation of integrations, offering greater flexibility and reducing unnecessary platform syncing. Global default settings streamline setup for new groups, with the option to customize as needed.  

Other Major Modifications 

Custom Query Management: Institutes can now run verified custom queries (CQs) through the query menu or warning service. Only admins or owners can access and execute these queries. Each query is checked to ensure it is still verified before running. For “General” queries, results are sent as an Excel file only if data is found, while errors or messages are logged. Invalid or unverified queries will not run, and users will see clear warning messages. This ensures secure and efficient management of custom queries. You can use custom queries to bulk export financial data or bulk update database values based on your needs.  

Mobile Features 

Simplified Subject Management for Teachers: The “My Subjects” menu in the teacher’s mobile app provides a clear view of subjects they teach or supervise, with filters for roles and enrollment status. Teachers can access “About” and “Roster” details, with editing available only to authorized users. The roster displays linked students and teachers, respecting privacy settings.
